When we first planned this webinar, the world hadn’t heard yet of COVID-19, aka Novel Coronavirus. As planners sent RFPs and scheduled site inspections, they focused on many of the same things we always have: meeting space, guest rooms, upgrades, amenities, F&B and staffing. We hope, of course, that accessibility was part of what was asked and accommodation observed.

Since we first planned this, we’ve become more aware of risk issues in site selection than we were since 9/11, or after Hurricane Katrina or SARS, of what is most important.

It’s what isn’t asked, seen or shown that can hurt us once a contract is negotiated and the meeting occurs. It’s what the parties take for granted—what surely “everyone knows”—that becomes a surprise when we arrive onsite for the meeting. And if we send volunteers or other non-meetings staff to inspect a property, how do we prepare them?
